1. Your privacy matters

At Claire Nicholson Digital, we respect your privacy and believe your personal information should only be used for purposes you understand and expect.

If you contact us, request information or enquire about our services, we will use the details you provide to respond to your enquiry, provide the information requested or discuss relevant services with you.

We will not add you to a marketing mailing list unless you actively choose to receive marketing emails.

This privacy notice explains what information we collect, how we use it and the rights you have under UK data protection law.

2. Who is responsible for your information?

Claire Nicholson Digital is responsible for the personal information collected through this website and its business activities.

For privacy enquiries, please contact us through our website.

3. What information we collect

Depending on how you interact with us, we may collect:

  • Your name and email address
  • Your business or organisation name
  • Your telephone number, if you choose to provide it
  • Information submitted through contact forms or enquiries
  • Correspondence relating to projects, quotations or services
  • Information about how you use the website, recorded by our own analytics only if you accept additional cookies (see section 7)
  • Technical information such as your IP address, browser type and the pages requested, which our hosting and security providers process to deliver and protect the website

We aim to collect only the information reasonably necessary for the relevant purpose.

4. How we use your information

We use personal information to:

  • Respond to enquiries and messages
  • Send information or resources you have requested
  • Discuss potential projects and prepare quotations
  • Deliver services and communicate about ongoing work
  • Maintain necessary business and financial records
  • Keep the website secure and working
  • Improve our website using consent-based analytics
  • Send optional marketing communications where you have opted in

Submitting an enquiry does not automatically subscribe you to marketing emails. We may contact you about the enquiry you submitted, including reasonable follow-up communications directly related to your request. We will not use your enquiry details to send unrelated promotional emails without the appropriate permission.

5. Email marketing

Marketing subscriptions are optional and require an active choice. If you subscribe, you can unsubscribe at any time, each marketing email will include a way to opt out, and withdrawing consent will not affect your ability to contact us or receive our services.

We may retain a minimal record of your opt-out to ensure your preference continues to be respected.

6. Our legal basis for processing information

Under the UK General Data Protection Regulation (UK GDPR), we rely on different lawful bases depending on why information is being used:

  • Legitimate interests: to respond to general enquiries, manage relevant business correspondence, keep the website secure and operate our business, where our interests do not override your rights.
  • Contract: to take steps you request before entering into a contract and to deliver services under an agreed contract.
  • Consent: to send optional marketing emails where you have actively opted in, and to run our optional website analytics.
  • Legal obligations: to meet applicable legal, accounting, tax and regulatory requirements.

7. Cookies, analytics and similar technologies

Essential cookie. We set one essential cookie, cookie_consent, when you accept or reject additional cookies. It remembers your choice for 12 months so we can respect it.

Optional analytics. We do not use Google Analytics or advertising cookies. If you choose to accept additional cookies, our own analytics records:

  • the type of event, such as a page view, a click on a button or link, or a page loading-speed measurement
  • the address of the page
  • the label or ID of the button or link you clicked
  • a random session ID, kept in your browser's session storage and removed when you close the tab

These records are stored in our database, hosted by Supabase. They do not include your name, email address or IP address.

To keep our own visits out of these figures, your browser first asks our server for your public IP address and compares it with ours. The address is used only for that check and is not stored with the analytics record. This check only happens if you have accepted additional cookies.

You can change your choice at any time using the cookie settings link in the website footer. If you reject or withdraw consent, analytics stops and the session ID is cleared.

Embedded and third-party content. Our AI second brain coaching page embeds a YouTube video in YouTube's privacy-enhanced mode. Google may collect information when you play it; see Google's privacy policy. If you look up a location on our solar eclipse page, the place name or coordinates you enter are sent to Open-Meteo and OpenStreetMap Nominatim to fetch the forecast.

8. How we store, share and protect your information

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.

We use these service providers, who process personal information on our behalf:

  • Supabase: hosts the database that stores form submissions and analytics records.
  • Cloudflare: delivers the website and protects it from attacks. It processes IP addresses and technical request information.
  • Google Workspace: provides our business email, where enquiries and correspondence are held.
  • Our web hosting provider: runs the server the website is served from.

We only share personal information where necessary for legitimate business purposes, service delivery or legal compliance.

We do not sell personal information or provide enquiry details to third parties for their independent marketing. Where service providers process information outside the UK, we use appropriate data protection safeguards where required.

9. How long we keep your information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected. The retention period depends on the nature of the information and our relationship with you.

  • General enquiries: for a reasonable period to respond and manage related correspondence.
  • Client and project records: as necessary to deliver services, maintain business records and meet legal obligations.
  • Marketing subscriptions: while you remain subscribed, with limited records kept where necessary to respect unsubscribe requests.
  • Analytics records: held in our own database while they are useful for improving the website. They contain no names, email addresses or IP addresses.
  • Cookie choice: the cookie_consent cookie expires after 12 months.

When information is no longer required, we delete it or anonymise it where appropriate.

10. Your data protection rights

Under UK data protection law, you may have the right to request access to information we hold about you, ask us to correct inaccurate or incomplete information, request deletion, restrict or object to certain processing, withdraw consent, and request transfer of your information where data portability applies.

You have the right to object to the use of your personal information for direct marketing at any time. To exercise your rights, please contact us through our website. You can also raise a concern with the Information Commissioner's Office (ICO).

11. External websites

Our website may contain links to external websites or services. We are not responsible for the privacy practices of those websites. We recommend reviewing their privacy notices before providing personal information.

12. Changes to this privacy notice

We may update this privacy notice to reflect changes to our website, services, technology or legal obligations. The latest version will be published on this page with an updated revision date.

13. Contact us
